POSITION SUMMARY: The Senior Grants Specialist is a member of the America’s Essential Hospitals’ finance and administration team, and serves as the liaison between the finance and research teams. This position acts as the point of contact between the grantor and our organization, serving as the primary staff member for gathering information and generating the proper reports to the grantors in a timely manner.
The Senior Grants Specialist will oversee the financial administration of grant and contract funds and ensure that we meet compliance and reporting requirements. This position will serve as the primary staff member for researching the application process, compiling application data, preparing budgets and budget justification materials, coordinating deadlines, and assisting with the grant application and associated materials.
Once a grant or contract is awarded, the Senior Grants Specialist is responsible for monitoring all grant spending, including personnel staff time; preparing internal and funder financial reports; and ensuring compliance with grant awards. This position will be comfortable reviewing and monitoring grant and contract award documents, tracking deadlines, preparing subcontractor agreements, meeting deadlines, developing budgets, and conducting other duties as assigned by the Chief Financial Officer or his/her designee.

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES*:
Financial administration functions and reporting to include, but not limited to:
Preparing timely submission of grant applications and reports
Developing budgets and budget justification materials
Performing budget analysis
Creating detailed spreadsheets to track personnel time spent on each grant or contract, as staff may work on several projects at one time
Preparing timely internal and external financial reports to ensure that spending is in accordance with budget
Preparing billing invoices and the appropriate supporting documentation that complies with the funders’ requirements
Recording the accounts receivable and recognizing the proper grant or contract income in accordance with ASU 2014-09
Following up on unpaid grant or contract receivables and recording cash receipts
Analyzing changes in regulations and their effect on cost reimbursements and financial operations
Implementing and monitoring systems of checks and balances consistent with standard accounting practices
Preparing audit schedules and working directly with America’s Essential Hospitals auditors.
Compliance administration and oversight to include, but not limited to:
Ensuring compliance with the rules and regulations administered by the grantor
Overseeing any special audits conducted by grantor
Communicating to staff the conditions placed on the funding and ensuring that compliance directives are followed
Administering policies and procedures in accordance with state, federal and organizational guidelines

MINIMUM EDUCATION AND EXPERIENCE:
A bachelor's degree in accounting, business management, finance or a related field.
3+ years experience in federal contracting (private foundation experience may be considered)
Proven experience creating, managing and reporting on budgets
Excellent knowledge of grant processes and practices
Ability to meet assigned deadlines and manage time
Proven experience keeping records compliant and audit-ready
Ability to act independently with minimal daily direction
Proficient in excel and pivot tables
A certificate program in grant management from recognized institutes like the National Grants Management Association (NGMA), the National Association of College and University Business Officers (NACUBO)
Familiar with Intacct, a cloud-based financial accounting system
Ability and willingness to learn new systems, techniques and procedures
