The AMS Support Specialist’s primary responsibilities are related to IFDA’s Association Management System (AMS): Advanced Solutions International’s iMIS software.
Responsible for the integrity of the information in the organization’s AMS;
Supports staff in customization (unique needs from the AMS) and reporting from the AMS;
Supports membership director;
Supports the organization’s event registration process, and;
Provides excellent customer service and responds thoughtfully to customer inquiries and requests.
Additional Responsibilities and Duties:
Membership and AMS Support
Responsible for AMS maintenance and management, including maintaining up-to-date records and cleanup (daily and annual purge process);
Maintains documentation of processes and procedures for AMS;
Supports staff in customization and reporting from AMS, including, but not limited to, member activity/engagement reports, member rosters, mailing lists, development of data queries and new IQA reports as needed;
Run weekly - Web Sign-In report and transfer WEB records; AMS Error report and fix identified records; Duplicate Record report and fix/merge duplicate records;
Run annual conference attendance/participation reports and update 5 & 6 Star Member stats;
Set-up/maintain automated correspondence in AMS within the Process Automation Module, including: passport conference registration reminders, registration confirmations, renewal thank you, renewal reminders, and member engagement reminders;
Manages annual membership renewal process that includes billing;
Adds new members to AMS and processes applications along with new member welcome packets;
Assist members with login issues;
Staff liaison between IFDA and Broadpoint (vendor support for AMS);
Liaise with all departments on their AMS needs; and,
All other duties that the IFDA membership director needs assistance with.
Responsible for entering into AMS all event registrations received in-house, under the supervision of the Manager, Finance & Administration (MFA)
Assist MFA with monitoring, editing and reconciling registrations received online;
Maintain dashboard reports for all IFDA events;
Responsible for sending event confirmations through the AMS; and,
All other duties involving the organization’s event registration processes that the IFDA MFA needs assistance with.
Staff liaison with outsourced IT vendor – collects general computer issues from staff and provides to the vendor during their regular weekly visit;
Assists with setting up new employee’s computer logins, passwords, email set-up and training for AMS; and,
All other duties as assigned.
Knowledge, Skills and Abilities Required:
Three or more years of hands-on AMS management (iMIS experience strongly desired, version 20 -RiSE) use including updating and maintaining AMS records;
Proficient with AMS query development, research, and data analyses;
Proficiency in Microsoft Office Suite;
Strong customer service skills to work with customers/members of the Association;
Strong customer service skills to internal iMIS users and the ability to offer training to new and current staff users; and,
Self-motivated, highly organized, and in possession of strong analytical skills.
