The Administrative Assistant will work with many NAAG staff members in executing the duties of the position. The position will include general NAAG office support and providing administrative and logistical support to the Executive Leadershipteam.
The Administrative Assistant will report to the Chief Administrative Officer.
The Administrative Assistant will work remotely as is advisable and/or necessary during the COVID-19 pandemic. As the pandemic wanes, the? Administrative Assistant will work at NAAG’s office in Washington, D.C., and be able to utilize the remote work policy in accordance with NAAG’s Employee Handbook.
Provide administrative support to NAAG’s Chief Administrative Officer, Director of NAGTRI, Chief Communications Officer, Chief Financial Officer, and Director of Human Resources. Responsibilities may include maintaining calendars, coordinating and planning travel, organizing reimbursements and expenses, organizing, creating, and updating files, and drafting/editing/sending correspondence.
Provide NAAG office support to include acting as point of contact for building and office space issues, managing mail and inventory for kitchen and office supplies; ensuring copy machines and printers are stocked and functional daily; serving as NAAG receptionist, welcoming visitors and guests, and assisting with internal meetings as appropriate, including a/v support, catering and other logistical needs.
Support operations by sourcing and managing third party vendors to meet the administrative needs of the Association.
Proofread correspondence, reports, and agendas as requested.
Manage calendars for Executive Team as requested.
Maintain calendar of in-office meetings including Executive Team, Senior Staff, and All Staff Meetings.
Prepare weekly report of activities (This Week at NAAG).
Assist the Human Resources Director with hiring and onboarding including managing job postings, reviewing candidates, scheduling interviews, preparing employee letters, and orientation agendas to onboard new employees.
Serve as backup to the Executive Assistant to schedule and maintain records for the NAAG Executive Committee and Mission Foundation including taking roll call and meeting minutes.
Provide logistical support for virtual and/or in-person Moot Courts.
Compile components of Best Brief Awards, and order other awards and plaques for members as necessary.
Provide membership services such as answering routine inquiries.
Other tasks as assigned based on the needs of the Association.
Undergraduate university degree preferred.
One-two years office experience required.
Strong time management and organizational skills.
Ability to multi-task and adapt quickly to changing work priorities.
Exhibit an outgoing personality.
Ability to think independently.
Excellent computer skills (Microsoft Office and Outlook; Lexis-Nexis is a plus.)
Strong communications skills and attention to detail.
