ASTRO, the American Society for Radiation Oncology, is looking for an energetic and passionate individual with an interest in continuing adult education to join our team that supports ASTRO’s Professional Development team.
As the Education Program Coordinator and under the direction of the Director of Professional Development, this position is responsible for coordinating, and providing support for, various aspects of the educational components of the Society’s live meeting offerings, including the Annual Meeting and Specialty Meetings. The individual will be responsible for coordinating our Industry Satellite Symposia application process, assisting with faculty management, updating website content and technology tools as well as handling various tasks related to the presented content of the Annual Meeting program. The individual will also assist in the organization of the Office of Professional Development.
Major Duties and Responsibilities

Coordinate Industry Satellite Symposia application process to include creating timelines, updating the application yearly, formulating tracking spreadsheets, facilitating the review process, processing approved applications, collecting post meeting reporting and follow-up.
Build and maintains all website information for all Annual Meeting Program and collaborate with Education Operations team to ensure synergy across professional development programs..
Organize efforts throughout the Office of Professional Development and coordinate programs such as special programs including as storytelling sessions, innovation hub programming, etc..
Provide support to Education Specialists and Managers regarding faculty and presenter management before during and post meeting. To include email reminders, scheduling conference calls, processing faculty expense reports, performing session content audits, preparing spreadsheets, etc.
Coordinate various technology tools associated with the Annual Meeting including the Online Conference Planner and meeting mobile App, including review of content, and editing data for consistency.
Provide support to Sr. Program Manager on scientific portion of program including preparing reports and documentation for the Program Assembly Meeting and assisting with preparation of scientific abstracts for the meeting proceedings.
Create tech scripts for all session rooms for AV company and session moderators/chairs.
Coordinate audience response system for educational sessions.
Provide support to all team members on various tasks related to the overall planning of the Annual Meeting.
Learn and utilize association management system (APTIFY).
Document standard operating procedures for existing processes and update/create as needed.
Provide support to content development of specialty meetings, follow up with volunteer request, and assist in program design.
Other duties as assigned.
Successful candidates will have:
Bachelor’s degree or equivalent work experience, in a related field preferred.
Two to four years of work experience within a medical specialty society preferred.
Experience with faculty/volunteer management a plus.
Knowledge, Skills, and Abilities
Proficient with Microsoft Office Suite, specifically Microsoft Word and Excel.
Knowledge in technology including prior experience with mobile apps, association management systems (APTIFY preferred), and web development programs (Ektron, HTML, etc.).
Resourcefulness and ability to work independently.
Must have excellent oral and written communication skills in order to interact effectively with contacts inside and outside the association, particularly with volunteers and physicians.
Ability to listen effectively and clarify understanding as needed.
Interpersonal skills – shows understanding, friendliness, courtesy, tact, empathy, cooperation, concern, and politeness to others; relates well to different people from varied backgrounds and different situations; e.g., internal staff, volunteers, physicians, and other external entities.

Ability to travel 10-25% of the year, overnight and over weekends.
