This is a mid-level professional position in the Component Collaboration & Resources department in which the manager is responsible for overseeing and managing all internal and external component communications, including but not limited to e-newsletters, website content management, presentations, social media, and other initiatives as assigned. The manager will work on strengthening and furthering engagement opportunities with components. This includes conceptualizing and developing workshops and roundtable discussions for components, preparing and analyzing component surveys and evaluations, and developing other engagement opportunities as needed. The manager will work closely with internal staff from Product & Technology, Brand & Engagement, Meetings, and Content Governance, as well as externally with volunteer leaders and component staff to develop a consistent and effective information sharing platform and processes. The position reports to the Sr. Director, Component Relations.
Job Duties:
Component Communications
- Manage, write, edit and publish component communications, including but not limited to the component e-newsletter and posts on the discussion boards.
- Work with Content Governance to ensure communications comply with AIA editorial standards.
- Serve as the staff reviewer for multiple leadership discussion forums and write and produce timely communications/responses for component and volunteer leaders, gathering relevant and time-sensitive information from AIA staff and other resources.
- Curate, publish and manage content on Component Connect (the landing page dedicated component resources), monitor the page for accuracy, and update, revise or remove content in a timely manner when needed.
- Track and analyze website metrics as they relate to component communications.
- In coordination with Product & Technology manage component data in the Fonteva/Salesforce database, manage contact data for component staff and volunteer leaders to ensure they can access AIA communications and systems as appropriate to their roles.
- Manage distribution lists for component communications and supervise maintenance of the CACE and Presidents’ discussion boards, including initiating new staff records in the AMS database to ensure access to all AIA communications networks.
- Work closely with Content Governance teams to curate and publish component events and content on the national website including the annual Grassroots leadership conference and the CACE Annual Meeting for staffed components.
- Assist with the creation of communication plans aimed at component staff and leadership about new initiatives and resources designed to optimize their effectiveness.
- Ghostwrite or edit articles, memoranda, and emails to support national component staff communiqués to CACE.
- Suggest ideas to improve component communications and develop new opportunities.
- Maintain and distribute Component Calendar of Events and checklist of key dates and deadlines.
- Catalogue print and web resources so they are secure and easily accessible and identify information for AIA Archives.
Component Engagement and Event Management
- Manage external engagement efforts with components including managing and producing component webinars and best practices. Requires some technical aptitude.
- Assist with conceptualization and development of some workshops, panels and roundtable discussions for components at national events. This includes working closely with presenters to organize the event, convening pre-event conference calls, and overall management of specific event.
- Research and recommend speakers through personal experiences, referrals, agencies, similar events, TED talks, and other organizations in the industry that support the goal, theme, and needs of audience for the event.
- Work with the Meetings department to provide logistical and technical support to speakers and staff volunteers.
- Provide support for the development and analysis of department surveys and event evaluations.
- Develop tools as needed to improve engagement efforts to components.
- Actively solicit feedback and input on the quality of the content, the usefulness and accessibility of the information platform, and the breadth of the information resources.
- Respond to and research (when necessary) topics and issues posted on the discussion boards and respond in a timely and professional manner.
- Collaborate and establish partnerships with other teams to identify pertinent and needed resources and tools.

Skills and Experience:
- Demonstrated proficiency in online video editing software and an aptitude with technical software.
- Considerable skill in written/oral communications, volunteer management, and systems/process development. Outstanding interpersonal communication skills demonstrating competencies in building teams, diplomacy, collaborative problem-solving and conflict resolutions.
- Strong writing and editorial background a plus.
- Ability to interact with individuals of diverse backgrounds at all levels of the organization. including volunteer leaders, members, staff, and visitors.
- Project management experience a plus.
- Excellent organizational skills, attention to detail, and time management skills. Success in prioritizing duties, retrieving information, tracking projects and maintaining schedules.
- Ability to work effectively in a fast-paced environment with changing priorities.
- Skill with Microsoft Office.
- Knowledge of HTML and website content management system is required.
- Skill in video editing preferred.
- Knowledge of Higher Logic platform is strongly preferred.
- Knowledge of AMS Salesforce/Fonteva preferred.
Bachelor’s degree in Business, Communications/Marketing or related fields and 4-5 years of association management or related professional work experience.
Some travel required.
