POSITION SUMMARY
The Industry Relations and Development Coordinator (Coordinator) supports Industry Relations and Development initiatives at the ISTH. Reporting to the Director of Industry Relations and Development, the Coordinator assists with a variety of administrative functions that support efforts to secure industry and support through congress exhibition and sponsorship and for educational, awareness/marketing and research grant programs. This position is part-time, 25 hours per week.
ESSENTIAL FUNCTIONS:
Meetings
Assists with scheduling in person and virtual Industry Roundtable and individual industry sales meetings, using Outlook, Zoom, Teams, Calendly, etc.
Arranges logistics for meetings, including AV needs, meeting room set up, refreshments, etc., coordinating with Meetings Department as appropriate
Produces PowerPoint presentations and other meeting materials as needed; coordinating with Marketing Department as appropriate
Take notes/meeting minutes as needed
Data Entry and Reports
Creates spreadsheets and other documents as needed
Performs data entry using Salesforce CRM; updates records and runs reports
Assists with tracking and generating updated Priority Point reports for congress and non-congress support
Organize department electronic files
Grant Submissions and Tracking
Completes grant submissions and tracks grant requests to industry supporters
Tracks progress and runs reports on key metrics, tracking progress toward strategic goals
Coordinates with Finance Department to ensure timely payment of grants per contracts and agreements with industry supporters
Supporter Benefits (non-Congress)
Coordinate with other departments (including Education, Meetings and Marketing teams) to ensure benefits are fulfilled for industry supporters
Other
Assist with distribution of industry surveys
Other administrative tasks as needed
KNOWLEDGE AND SKILLS REQUIRED:
Excellent interpersonal, verbal and written communication skills; able to partner effectively with a variety of internal and external stakeholders
Experience with completing and submitting grant proposals preferred
Strong time management skills
Desire to be part of a hardworking, collaborative, fun, and values-driven team serving a global member community
Interest in developing an understanding of and commitment to ISTH’s mission and guiding principles
EXPERIENCE AND MINIMUM REQUIREMENTS:
Bachelor’s degree required in Business Administration, Communications, Nonprofit Management or a related field or equivalent amount of experience
Minimum of two years of relevant professional experience, knowledge of nonprofit organizations. medical/scientific organizations preferred
Proficiency with Microsoft Office products, (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat
Experience with Salesforce or similar CRM and grants management software preferred
Experience with customer service and/or administrative support
WORK ENVIRONMENT:
This position is mainly sedentary but may require the ability to lift and carry up to 30 lbs. of materials
Weekend and after-hour work may be required as dictated by the event schedule
Domestic or international travel may be required, two to three times per year
Employment location is remote, based on skills, experience and USA location of applicant.
