WORK ENVIRONMENT (Remote/Hybrid)
This position is mostly remote with in-office expectations periodically in the Bethesda, MD Headquarters.
POSITION SUMMARY
The Coordinator, Sales & Operations will play a pivotal role in supporting the Business Development team, ensuring smooth operations, and contributing to the growth of AOTA’s revenue streams. This position is integral to the launch and maintenance of AOTA’s Corporate Membership program and will provide vital assistance in servicing and maintaining current clients while soliciting new business for AOTA’s diverse range of products, including INSPIRE, OT Practice, digital advertising, and the AOTA job board.
POSITION SPECIFIC DUTIES
Operational Support to Business Development Team:
Develop a comprehensive understanding of AOTA’s product offerings, including INSPIRE, Specialty Conferences, OT Practice, AOTA e-newsletters, aota.org, webinars, and podcasts.
Update and maintain ad tracking sales sheets in MS Teams, ensuring all print and digital advertising products and INSPIRE sponsorship details are accurately recorded.
Collect and track advertising materials for inclusion in OT Practice, AOTA.org, and all AOTA e-newsletters, liaising cross-departmentally to ensure successful and seamless ad trafficking and product execution.
Provide assistance for the activation of sponsorships at INSPIRE and AOTA Specialty Conferences, including determining, ordering, and proofreading onsite signage, and coordinating with conference staff on sponsorship deliverables.
Develop and maintain a sponsor/partner logo tracking system and a current logo library.
Assist clients and prospects through AOTA’s customer service system, ensuring all inquiries are answered within 48 hours.
Provide administrative support to the Business Development team, including maintaining client files in Salesforce, interfacing with clients and prospects, and performing data entry.
Assist with marketing and promotion plans to secure new business.
AOTA Corporate Member Sales:
Lead the sales of corporate memberships, working with the Director to identify potential matches and initiate the sales process.
Generate leads and nurture new and existing client relationships.
Effectively manage the corporate member sales pipeline and client data through Salesforce.
Meet annual sales targets for new AOTA corporate members.
Serve as the main point of contact for corporate members once onboarded, assisting them across AOTA.
Monitor the competitive landscape and suggest potential partnerships.

POSITION REQUIREMENTS
Bachelor’s degree in a related field or proven work experience will be considered.
One or more years of related work experience and/or Association Management, with an interest in a sales career.
Basic knowledge of conference planning, exhibit, tradeshows, sponsorship, and advertising sales.
Forward-thinking with strong attention to detail and a commitment to quality.
Ability to collaborate effectively and build relationships across all departments and levels.
Demonstrates good judgment, mature business skills, high-level organizational and time management skills, and flexibility in managing competing priorities and changing expectations.
Skilled in critical thinking, analysis, and determining project direction.
Excellent written and oral communication skills, highly organized with keen attention to detail.
Exercises moderate influence upon the actions or operations of others with a moderate impact on the activities of AOTA.

Association experience, preferably within sales, marketing, or membership departments preferred.
Sales experience, knowledge of Salesforce, and experience in putting together proposals to win business preferred.

Ambitious, driven, and empathetic with a hunger to grow within sales.
Excellent communication skills to exchange information with AOTA staff, Organizational Members, and persuasive abilities to win new business.
