Women in Healthcare - National (WIH) invites qualified individuals to apply to provide administrator services to the National Organization which includes, but not limited to, operational, administrative, and financial oversight.
Reporting to the Board of Directors, the Executive Administrator (EA) is responsible for the overall strategic and operational management of Women in Healthcare, Inc. The EA ensures that the organization adheres to governance best practices, supports chapter growth, manages operations, and drives key initiatives, including the LeadHERship Summit.
This position requires a dynamic leader with strong organizational, financial, and communication skills who can effectively support the national board and local chapters while maintaining compliance and fostering organizational growth.
This individual will be engaged as a 1099 independent contractor, with a maximum of 40 hours per month. The expected hourly rate will range from $50 to $60 per hour.
Key Responsibilities
Governance, Compliance, and Financial Oversight
The executive Administrator should be able to Articulate the nonprofit’s vision, mission, unique value proposition, and overall strategy and direction of the organization.
Under the oversight of the Board of Directors the executive administrator runs the day-to-day operations. The EA, in collaboration with the national board, will ensure that the organization is providing proper governance to maintain its nonprofit and 501c6 status. This requires that we stay in compliance with all laws and regulations. The EA should create and utilize systems to monitor this oversight. The EA should understand the legal frameworks for running a non-profit bother federally and at the state levels. The EA will be responsible for oversight of all legal and financial reports and filings. Research and maintenance of the organization’s insurance providers, banks, and technical platforms will fall to this individual as well.
An executive Administrator must demonstrate competence in reading, creating, and understanding financial documents, including budgets, cash flow, income statements, balance statements, and statements of functional expenses. An understanding of the budget that the board has put in place will be critical in this role as they carry out initiatives for organizational growth. The executive Administrator should have an understanding of how to operate QuickBooks.
Uphold and articulate the organization’s vision, mission, and strategic direction.
Ensure compliance with all legal and regulatory requirements for nonprofit 501(c)(6) status.
Develop and monitor governance systems to ensure compliance at federal and state levels.
Oversee financial reports, filings, and budget management, including QuickBooks operations.
Research and manage relationships with insurance providers, banks, and technology platforms.
National Board Development
The executive Administrator works in partnership with the board and for the board.
Collaborate with and support the Board of Directors in policy compliance, meetings, and committee work.
Assist in board operations, strategic planning, and information dissemination.
Foster strong relationships with board members and ensure alignment with organizational goals.
Chapter Growth and Development
Women in Healthcare currently onboards four new chapters a year through a process called “incubation”. Once chapters have incorporated in their state, they may continue to require some additional mentorship and training.
Lead the onboarding, training, and mentorship of new Women in Healthcare chapters.
Continuously refine and enhance the chapter incubation process.
Provide ongoing support to established chapters in collaboration with the national board.
Human Resources Management
Oversee recruitment, onboarding, and staff development.
Ensure clear delegation of tasks and create structured job descriptions for team members.
Foster a collaborative and inclusive work environment while maintaining compliance with HR best practices.
Operations and Technology Oversight
Women in Healthcare utilized many forms of technology to streamline operations for National the chapters. The EA is responsible for the oversight of these technologies.
Manage and oversee technological platforms supporting national and chapter operations.
Research, implement, and train stakeholders on new technologies as needed.
Communicate technological updates and changes to the board and organization members.
LeadHERship Summit Planning and Oversight
Women in Healthcare hosts the LeadHERship Summit every other year. The location of the summit is selected via application process submitted by Women In Healthcare chapters.
Lead the planning and execution of the biennial LeadHERship Summit.
Collaborate with the board, staff, summit committee, and external stakeholders to ensure a successful event.
Qualifications & Skills
The EA will be thoroughly committed to Women in Healthcare’s mission. Candidates should have familiarity with Women in Healthcare or other similar organizations.
Demonstrated commitment to Women in Healthcare’s mission.
Experience working with a nonprofit board and fostering board relationships.
Strong written and verbal communication skills; ability to engage and inspire diverse stakeholders.
Entrepreneurial mindset with a strategic, action-oriented, and adaptable approach to leadership.
Financial acumen, including experience managing budgets and using QuickBooks.
Proficiency in overseeing operations, compliance, and governance in a nonprofit setting.
Strong project management and organizational skills.

Contract Negotiation
Upon selection, WIH and the selected EA will negotiate a contract to cover the scope of work requirements. It is anticipated that the contract will be reviewed on an annual basis and adjusted as needed by mutual agreement.
The purpose of our organization is to promote the professional development of women in the healthcare industry, to empower one another, support growth and mentorship, and support business through sharing successful techniques, leads, contacts, products and services. Our content is geared towards women in administration, operations and facilities and those who work with them. We provide content that furthers the individuals' knowledge of industry related fields and trends, enhances professional development tools and gives a forum for personal growth.
