This is a salaried position and offers a wide variety of benefits including: generous vacation time, personal time, 10 paid Holidays, health and dental insurance, long & short-term disability coverage, and a 401K company contribution plan. After an initial training period, the position is hybrid with a mandatory minimum of one day per week in the FEF Home Office in Schaumburg IL. The Foundry Educational Foundation (FEF) is looking for an innovative, energetic professional who is excited about the mission and interested in joining a dynamic and innovative team. This work is both relationship-driven and externally focused and is a great fit for a professional who enjoys meeting new people. The ideal candidate will be a creative, self- motivated and enthusiastic individual who, in partnership with the staff, will develop this role into an essential cog towards strengthening value for our unique FEF family while ensuring the long-term vitality of FEF’s essential mission. This position includes regional and national travel. This position will be a hybrid workweek arrangement, allowing the balance between remote work and in-office duties. After an approximate initial six-month training period (with two-three days per week in the office) this position will be expected to spend one day per week in the office and work remote for the remainder of the week.
Continued success and growth of the Foundry Educational Foundation will rely heavily on its program endeavors including keeping the FEF family connected. The Administration and Data Coordinator is a new position within FEF and will be responsible for performing administrative, data-related, and project support functions ensuring that all run smoothly, contributing to the overall efficiency of the organization. The position is critical in coordinating resources and data necessary to enhance fundraising and service opportunities within the Foundation’s active and highly motivated group of industry volunteers, and dedicated educators. This position is expected to meet quarterly key performance metrics and reports to the Executive Director.
Key Accountabilities
Administrative Support:
Provide administrative duties, including running office operations (general FEF phone and email, messages, mailings, shipping and printing), scheduling and coordinating meetings and events, managing correspondence and purchases
Prepare financials (A/P and A/R) - track budget and coordinate monthly bookkeeper visits
Assist with student scholarship processing – review and maintain student profiles
Coordinate social media, FEF website, and IT support through outside providers
Assist in the creation, writing, design and distribution of marketing and communication materials
Data and Donor Management:
Collect, organize, and maintain data records, ensuring data accuracy and integrity. This involves data entry, database management, and generating queries and reports related to gift processing, gift levels, donor tracking, and relationship management
Administer all donor correspondence - request letters, campaign letters, annual fund renewals, and thank you letters
Assist with the stewarding of volunteers and make follow-up calls as necessary
Project Support:
High School Outreach project
Compile and manage data collected on school locations, teacher contact information, alumni connections and interested partners
Track and analyze metrics and compile reports and presentations
Assist in initial contact with interested teachers providing information as needed
Advanced Internship Program
Manage correspondence to interested companies, coordinate processing of applications and track monthly reports
Aid in contacting student-interns for feedback on their work experience
Other project-related tasks
Assist in coordination of alumni-engagement functions (intra-company activities, FEF school events) and management of new events and activities
Create and maintain documentation, including reports, presentations, articles, and procedural manuals related to projects
Assist in the development and writing of grant proposals to government agencies, foundations, and other funding sources
All other duties as assigned.
Requirements
5+ years business experience in a non-profit, development, human resources, or academic environment
Highly organized with demonstrated ability to simultaneously balance deadlines and projects
Excellent oral and written communication skills
Demonstrated ability to work collaboratively in a small team environment
Knowledge of database management (Raisers Edge or similar relationship management software, preferred)
Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Robly (eblast platform like Constant Contact), and various social media platforms
Must be comfortable using MS Teams or Zoom
Track record of excellent critical thinking and problem-solving skills, with sound judgment in prioritizing problems and opportunities
This position requires perseverance, professionalism, and a willingness to make phone calls and follow-up contacts
Must have a valid driver's license and clean driving record
Must be able to read and write in English
Some experience in donor engagement and outreach, preferred
Experience with donor activities, grant-writing and event planning a plus
Knowledge of manufacturing industry is a plus
