The American Psychiatric Nurses Association (APNA) located in Falls Church, Virginia is seeking a full-time experienced meeting & event planner to join its staff. The position requires a minimum of five years meeting planning experience with a background in sales. Candidate should have strong written and verbal communication skills, be proficient in Microsoft Office applications, and be comfortable navigating online registration software, mobile application platforms, and virtual meeting components.
The successful candidate will:
Manage assigned projects and timelines in the area of meeting & event planning for a variety of programs, coordinating with APNA program staff.
Manage the APNA sponsorships and exhibits programs, including recruitment and retention of sponsors/exhibitors.
Develop and track budgets to ensure revenue and expenses are kept within established boundaries and reconcile event bills.
Review and negotiate contracts with a variety of vendors for meetings, sponsorships, and exhibits, including providers and suppliers such as hotels, convention centers, and speakers.
Provide advance and onsite (in-person and virtual) support and coordination of meetings.
Ensure all logistical details including room set-up, audio/visual, transportation, housing, and food and beverage for meetings are planned effectively.
Manage the coordination of services for events, such as accommodations for facilities, audio-visual equipment, catering, signage, displays, special needs requirements, printing, transportation, and event security.
Conduct inspections of event facilities to ensure that they conform to association requirements.
Maintain historical meeting records and produce post-event reporting as requested.
Manage meeting travel as needed, such as flights and/or other arrangements for staff, speakers, APNA representatives, etc.
