We The National Agricultural Aviation Association is a nonprofit trade association based in Alexandria, VA currently in search of a Program Associate. This is a full-time position. The Program Associate will support a busy team including annual convention support, membership and program support, and general office duties
The National Agricultural Aviation Association (NAAA), founded in 1966, represents the aerial application industry and its mission of treating crops, fighting fires and protecting public health. NAAA provides networking, educational, government relations, public relations, recruiting and informational services to its members and the aerial application industry as a whole.
Major Duties and Responsibilities
- Annual Convention
- Assist with Member and Exhibitor Registrations
- Print all Attendee Badges
- Assist with attendee bag insert item collection
- Ensure all items needed are shipped to the convention location
- Prepare past presidents lunch invite and send reminders
- Assist with on-site registrations
- Print and Mail thank you letters when convention is over
- Membership
- Work with Membership Management Company on annual renewals
- Work with States/Regions to ensure they have all necessary membership materials at their conventions.
- Assist staff with membership report requests
- Order Membership decals and certificates annually
- Updating Database with Board/Committee Member information annually
- Helping with Annual Membership Directory
- Education

- Create Registrations within database for educational and certification programs including:
- Processing participants’ names so program participation gets added to each attendees certification record
- Post the participants names who are also NAAA members on NAAA website
- Ensure every participants gets a confirmation email with letter verifying they attended
- Assist with the implementation of a Learning Management System as well as a Certification program.
- Mail certification letter and sticker
- List all NAAA pilot participants on NAAA page by year and event
- Manage education analysts and technicians database and webpage
- Notify analysts and technicians of programs about renewing
- General Office
- Help Staff prepare for Board Meetings-shipping items, printing board books.
- Prepares and mails all Thank you letters, PAC, EXPO, Donations
- Orders all office supplies
- Helps Director of Finance with processing mail.
- Assists office staff with mailings as needed
All other duties as assigned
Our Ideal Candidate:
- 1-2 years of office experience in a nonprofit trade association;
- Experience with member databases required, preferably with the Naylor Association Management System;
- Motivated self-starter with strong time management skills, a demonstrated ability to manage multiple tasks and to work independently;
- Ability to work cooperatively with staff and members;
- Detail-oriented with strong organizational, analytical and planning skills;
- Proficiency with Microsoft Office programs (Word, Excel, PowerPoint, and Outlook); and an openness to embracing and learning new technology;
- Enthusiasm, good judgment, and excellent communication skills (listening, verbal, and written);
- Professional demeanor and presence;
- Strong demonstrated proofreading skills.
