We are seeking an Organizational Affairs Specialist to join our team! Under the direction of the Director of Organizational Affairs, this position will provide administrative and project management to the various committees, key constituent stakeholder groups, joint member sections (AANS/CNS), affiliate/external organizations and functions of the Organizational Affairs department. A qualified candidate may also support projects that are comprised the Association (AANS), the Foundation (NREF) and the data registry arms (NPA).
This is a hybrid opportunity; 3 days remote and 2 days on-site in Rolling Meadows, IL.
Essential Job Duties
- Supports the Director of Organizational Affairs by providing project management and support for all AANS / CNS member sections or assigned committees/programs; collaborating with other AANS departments including, but not limited to:
- Accounting / Finance: Actively supports budget development of assigned programs. Works to ensure that programs meet revenue and expense goals, tracking project variances when applicable.
- Data Management: Maintains leadership and committee rosters and current rules & regulations and protocols for each section, runs and distributes routine membership reports, etc.
- Governance: Schedules leadership / committee calls, sends routine correspondence, supports submission of routine activity reports to the AANS leadership.
- Membership: Coordinates and implements annual Section membership recruitment and retention plans; seeks new opportunities to promote value of Section membership.
- Development / Industry Support: Liaises with Foundation and Development staff regarding status of awards, fundraising efforts, sponsorship, and grants.
- Marketing / Communications: Monitors and facilitates website updates, social media, email, newsletters, and other communication channels to ensure accurate and timely information is distributed to key audiences and stakeholders.
- Administrative: Provides ongoing logistics support for annual / recurring events with sections and the Organizational Affairs department.
- Assists the Director of Organizational Affairs as needed to support AANS governance activities such as Board of Directors’ events/initiatives, committees or workgroups.
- Provide logistical support for meetings/events, including travel arrangements meeting space & function needs, and coordinating virtual events.
- Provides appropriate communication and support to organizational stakeholders, and manage a high volume of work priorities.
- Attends meetings/events as requested for joint AANS/CNS member sections, and other select events to support all Organizational Affairs department current project initiatives.
- Provides assistance with procedures or protocols that help the operation of the Organizational Affairs team with efficient and effective productivity, including tracking /compiling routine reports.
- Performs other job-related duties assigned.
Qualifications
- 5+ years of related experience, including extensive project management, budget planning/monitoring, meeting/logistics coordination, and committee / staff liaison experience required. Previous association experience and/or working with non-profits Board of Directors, healthcare providers and their teams preferred.
- Capable of managing many projects at once, working with multiple people across functional areas to ensure projects are on schedule and achieving their objectives, prioritize job tasks and independently manage one’s time to meet project milestones or deadlines.
- Demonstrated confidentiality, tact, diplomacy, and superior verbal and written communication with excellent proofreading skills are required.
- Demonstrate solid decision-making and critical thinking skills, and sound administrative strategies and tactics that promote excellence in responsibilities.
- Strong attention to detail, ability to demonstrate accuracy, efficiency, and follow-through, while working in a fast-paced team environment.
- Excellent customer service skills with a proven ability to work with volunteers and staff.
- Proficient in Microsoft Office, specifically Outlook, Word, Excel, and PowerPoint required. Experience using webinar / videoconferencing, and Salesforce AMS database platforms is a plus.
