POSITION SUMMARY
Assists the Accounting Manager with Accounting and Bookkeeping tasks. Oversees day to day Building and Office management and maintenance. Greets walk in visitors, answers telephones and runs reception.
PRIMARY DUTIES
Accounting:
Administer the entire Accounts Payable process including invoice approval, voucher entry and issuing payments
Prepare tax information related to the A/P process including W-9 forms and 1099 forms
Process receipts: post all credit card, cash and check receipts to appropriate system.
Prepare and file sales & use tax returns
Make bank deposits as needed
Prepare journal entries as assigned
Manage the installment billing processes
Responsible for membership billings and invoicing for miscellaneous products and services
A/R follow-up
GL reconciliations as assigned
Prepare cash bank, credit card terminals, etc. for events
Assist in budget process and annual audit preparation
Building and Office Management:
Act as liaison and manage contracts with vendors relating to:
building cleaning, maintenance, and repairs
office equipment such as telephone, postage meter and copiers
computer and network equipment
service providers such as document shredding, office supplies and refreshments
Other Duties:
Assist CEO by prioritizing mail, communicating with board and membership as needed, coordinating travel, etc.
Answers telephone, greets walk-in visitors
Makes bank deposits
Sorts mail
Assist as needed at association and foundation events, primarily with registration
Other duties as assigned

Frequent interaction with association staff, members, and outside vendors
Essential Knowledge, Skills & Experience
Associates Degree in Accounting, Business or related field or equivalent experience
5 years relevant professional experience
Understanding of fundamental accounting principles.
Working knowledge of Microsoft Excel, Word and QuickBooks or other widely used accounting software package
Experience with Association Management database software
Self directed, results-oriented work style with ability to work in close harmony with others and willingness to accept responsibility and personal accountability
Excellent verbal and written communication skills and ability to work with a diverse group of people required
Good organizational skills and detail-oriented work style
